Respected Madam,
I am writing on behalf of St. Xavier’s High School, Mumbai, to invite the students of Classes IX and X of your school to attend the Remedial Classes we are conducting, should any of them wish to do so.
The details are as follows. The classes will be held in Mathematics, Physics and Chemistry, in Rooms 12 and 14 of our school building, from Monday, 6 March 2023. They will run on Mondays, Wednesdays and Fridays from 2:30 p.m. to 3:30 p.m., and will be taken by our own subject teachers. There is no fee.
The classes are intended for students who found the first terminal examination difficult and would benefit from working through the material again in a smaller group. We have kept the numbers low deliberately, and we have places for about fifteen students from your school.
If you approve, the names may be sent to us by Friday, 3 March 2023, and we shall make the arrangements.
We should be glad to be of help. I look forward to your reply.
Thanking you,
Yours sincerely, Ananya Sen Head Girl St. Xavier’s High School, Mumbai
WHAT THIS QUESTION SPECIFICALLY REQUIRES
The instruction "Give ALL DETAILS of the classes to be held" makes this an information-heavy e-mail, and the content marks are counted against those details: subjects, venue, start date, days, time, who will teach, whether there is a fee, and how to enrol.
The DETAILS MUST MATCH the notice in part (i) — same subjects, same rooms, same days, same times. Examiners read the two together.
Note the chain of address: you are writing to the PRINCIPAL inviting HER STUDENTS, so the invitation is addressed to her and seeks her approval. Writing directly to the students would miss the question.
The phrase "if they so wish" in the question signals that this is an offer, not a summons — so the register should be courteous and unpressing. FORMAT AND MARKS DIVISION: see the Notice and E-mail references in the Writing Formats & Marking (Reference) chapter.
USE THIS AS A MODEL, NOT AS AN ANSWER TO MEMORISE. The question asks for an ORIGINAL composition, and every year examiners identify scripts reproduced from guide books; a memorised answer can be penalised for plagiarism and will in any case read as borrowed. Study this piece for its STRUCTURE — how it opens, how the paragraphs are ordered, where the required tasks are answered, how it ends — and then write your own, about your own school, your own family, your own town. Your own specific detail is worth more marks than anyone else’s polished sentence.
